Guidelines for Supervisors and Trainees of
Indian College of Laboratory Animal Medicine (ICLAM)

This document defines the role and responsibilities of the Supervisors and Trainees for registering the Trainee candidates while undergoing a one-year training period.

‘Supervisors’ are the ‘Diplomates’ already selected by the Indian College of Laboratory Animal Medicine (ICLAM). All Diplomates are eligible to accept ‘Trainees’ as a Major and Minor Supervisor, provided they meet the requirement mentioned elsewhere in this document. List of Diplomates eligible for registering the trainees under them for a year-long training either by ‘Standard Experience route’ or ‘Residency’ route, can be viewed at ICLAM website at- https://iclam.in/admsn-announcements.php.

‘Trainees’ are candidates who are registered by the ICLAM based on their eligibility for the training.

Each Supervisor is entitled to register up to 02 trainees per year. Once the Trainee/s approach them for their consent to act as a Major or Minor Supervisor, it is the responsibility of the Supervisors to obtain permission from their organization to register the Trainees under them. Besides, the Supervisors are also responsible to take prior consent from the nearby institute(s) to obtain permission to expose the Trainees to animal care, husbandry, health, pain & distress management, spontaneous diseases of different species and different procedure of testing modalities specified in six domains under RDD. The Major Supervisor is responsible for taking sole responsibility of the Trainee by exposing the Trainee as described in the RDD.

Each candidate needs to be conversant with the details of Training and Experience Eligibility, RDD, Training & Experience criteria and list of Supervisors before applying as a Trainee. For understanding the expertise of a nearby Supervisor(s), candidates can interact with them and ascertain the expertise before applying as a ‘Trainee’. Candidates may approach the Supervisors individually, and a letter of acceptance from the Major Supervisor needs to be attached along with the application. Applications without the supporting letters from the Major Supervisor will not be entertained and the candidates may be declared ineligible. All candidates need to mention name of one Minor Supervisor in their application. List of Supervisors can be viewed at- https://iclam.in/admsn-announcements.php. A letter of acceptance from the Minor Supervisor needs to be attached along with the application.

The candidates have to seek necessary approvals from their offices to apply as a Trainee and take up the examination. The candidates may attach the permission letter from their office along with the application form. The ICLAM will not be responsible for producing any sort of testimonial, if required midway, in support of the training period of the candidates who have not attached permission letters from their offices.

Each Trainee is required to pay Rs. 1500/- as Training and Examination fees (non-refundable) after the candidate receives the acceptance letter as a Trainee from the ICLAM. All candidates who pass the examination successfully as per the set criteria of the ICLAM, will require to pay membership fees of Rs. 10,000/- (or as decided by the ICLAM from time to time) before receiving a scroll from ICLAM.

In case a ‘Major Supervisor’ is transferred from the city of their work and not able to train their Trainee anymore, the candidate is expected to select their Minor Supervisor as a Major Supervisor and the Trainee can also select a new Minor Supervisor. However, the Trainee may approach the ICLAM for suggesting/ accepting a new Major Supervisor. In such a situation, the trainee has to obtain a certification from the Major Supervisor in support of hours of training completed under the old Supervisor/s and forward it to the Secretary, ICLAM. In case a Minor Supervisor is transferred from the city of their work and not able to train their Trainee anymore, the candidate can select a new Minor Supervisor and submit documents to the ICLAM.

In case Trainee changes a base from one organization or city to another, he/she can decide whether to continue with the same Major/ Minor Supervisor or select altogether new Major/ Minor Supervisors. In any case, the ICLAM needs to be informed about the decision by providing supporting documents by the candidate. The candidature of the Trainee is regularized only after the written consent from the ICLAM.

It will be mandatory for the Trainees and Supervisors to attend the common online/ physical training centrally held by the ICLAM to harmonize the study material and training. However, on-site training is a prime requirement to expose the Trainees to various species/systems through regional training centres.

‘Trainees’ will have to afford expenses towards travel and accommodation for visiting and undergoing training at any organization/ centers. Major/ minor supervisors may help to provide accommodation if available inside the campus. However, “Trainees” will have to pay as per rates specified by the organization.

‘Trainee’ will not be paid any stipend during the period of training. Similarly, Supervisors will have to make arrangements for the training within the available resources, and they will not be entitled to any financial support from the ICLAM.

‘Trainees’ will honour the rules and regulations of the organization/ institute during the period of their training.

The Major/ Minor Supervisor needs to provide a quarterly report in prescribed format to the ICLAM in support of the Trainee's progress.

To qualify for taking the main examination, each Trainee needs to complete 200 hours of the didactic training period. A certificate in this effect will be required to be produced from the Major/ Minor Supervisors to take up the examination. To qualify Diplomate of ICLAM title, all trainees must pass all papers with a minimum 60% of marks in all papers. If any Trainee cannot clear any paper with a minimum requirement of 60 % of marks in the main examination, s/he can take the examination up to two additional attempts in consecutive two years. During the second and third year, the Trainee need not undergo the didactic training as they have already completed 200 hours of didactic essential training in earlier attempts. If the Trainee cannot clear the examination in all three attempts, s/he has to again pay Rs. 1,500/- as training and examination fee. In such situations, the Trainee needs to undergo new training under their Supervisor/s.

The main examination will be held within two weeks after completing the one-year training/ residency period.

If the Supervisor or the Trainee has any grievances against each other, they can write to the Secretary, ICLAM, with their recommendation/ suggestion. The ICLAM Board will take appropriate decision and communicate, which will be binding to both of them.
